Hi Mr. Patrick,
I hope you are enjoying the spring weather!
Last weekend I went to the project site with someone who knows about building retaining walls and installing pipes. Our scoutmaster Mr. Ahlgrimm also came by (he is also pretty handy person with this sort of thing as he has experience with several dozen eagle projects).
We all came to the conclusion that we need to split the project into three projects, to make sure we do things the right way and we finish what we start within the same day so we do not interfere with sporting events at the field.
Here is how we divided the project, and the partner scouts who will take the lead for each phase;
Drainage, left side of the stairs (facing the school buildings): 1) Drainage pipe installation (consensus is we may have to dig down to the old pipe, and possibly replace that (as opposed to putting the new pipe on top of the old one). We will have to install a new larger drain box (under ground) sufficient enough to handle the volume of water accumulates and passes through. 2) We'll re-position and rebuild the small retaining wall. 3) We'll build a flower bed next to the snack bar. I am in charge of this item, and this is the first project we'll complete on June 15.
Retaining Wall, right side of the stairs: This is the longer wall. Based on expert input we'll change the footer design significantly to make sure we channel & move rainwater gracefully into the walkway. My partner for this work is David Russell (he is also life scout, and in 10th grade). David will schedule this work with you within several weeks of the top item.
Erosion prevention, and grass planting (slopes on both sides of the stairs): Fix soil erosion on both sides and plant Kentucky 41 grass. My partner for this work is Michael Harris (he is also life scout, and in 9th grade). Michael will schedule this work with you following the 2nd task.
We wanted to tackle the pipe, and the retaining wall first as they are infrastructure items that will impact how the slope shaped.
When you have time during or after school, I would like to introduce you to Michael and David. I will be doing my project on the June 15th as planned, and ultimately we are planning on finishing the overall project before the football season, (3 Saturdays). We'll try to buy materials together to realize some economies, and despite the enhanced scope, we will get this done within the same approved budget.
Please let me know if you see issues with our approach, and I will also inform PTSA about the revised plan.

Thank you for letting us know. I have copied our treasurer to alert her as I know ptsa books close end of june. Do you believe you will have all invoices to us before then, even though work may not be complete? There are definite practices a ptsa has to abide by for accounting purposes so we need to make sure we are always in compliance on our end.

Hello Deniz-
I continue to be impressed by your maturity and leadership!
This all sounds good. I only have one comment that may or may not be needed...when you are selecting material for the retaining wall, please assess what other materials are used in nearby structures. For instance, there is a planter close to the bleachers and near where you will be building. Because this existing planter is in the same visual line of sight as your structure, you may want to compliment this structure with your materials. I hope this makes sense. If not, let me know. I am happy to help.
